what usage restrictions can i configure?

To create a new schedule, you must first click on the Schedule Equipment tab on the core's homepage, and then More > Add Schedule. (Figure 1)

To configure restrictions when setting up or editing a schedule, click on the Restrictions tab. (Figure 2)

Time Settings

In this section, you may designate the time settings for the calendar. (Figure 3)

User Access

In this section, you may designate which users can reserve the resource, and some of the actions they may take on the reservation. (Figure 4)

3.1: Let users create reservations (Y/N): Select to allow customers create reservations on the schedule.

3.2: Distinguish between trained and untrained users (Y/N): Select if you want to distinguish if a usage type is available for trained users only.

3.3: This resource is only available for trained users? (Y/N): If users are untrained, they may not schedule the resource. (You must select yes to Distinguish between trained and untrained users? to use this feature.)

3.4: Link to training request: If the resource is available to trained users only and you want to allow untrained users to request training then link the training request you want untrained users to submit.

3.5: Allow untrained users to view the calendar (Y/N): Should users that have not been trained on the equipment be able to view this calendar, but not reserve on it?

3.6: Let users link reservations to a service project (Y/N): Should users be allowed to link the reservation to an processing service project?

3.7: Send reminder emails to update actual usage: If you allow customers to update their usage, indicate how often you want update usage reminders to be sent after a reservation has passed.

  3.8: Do reservations require core approval (Y/N): Should reservations require the approval from core staff

Lockout Rules

In this section, you may define the rules that determine the time limits for creating, editing, and canceling a reservation. (Figure 5)

Usage Capping

Usage Capping allows core facilities to define how many hours a user may have available to schedule on a particular piece of equipment or at a service center at any given time, and to place restrictions on reservations that exceed this defined bucket of time. It caps equipment usage and allows a service center to equitably distribute valuable resource and equipment time among users as well as maximize instrument usage.

Once you define the number of hours a user may schedule on a piece of equipment or at a service center, service center approval will be required for any reservation that exceeds this amount of time.  

Once a specific reservation begins, the total amount of time reserved for that event goes back into the user’s bucket of available scheduling time. (Figure 6)
